AI Automation for Law Firms

Stop losing clients to the inbox that never sleeps.

Small and mid-size firms lose real revenue to slow after-hours response, manual intake data entry, and matter details that live in someone's head. We fix that — with AI workflows built for how your firm actually works, and designed around the confidentiality standards you're already held to.

A Friday-night inquiry, handled before Saturday coffee. Watch above.

The cost of doing it the old way

Most firm owners we talk to already suspect they're losing business to slow intake. What they don't realize is how much — and where.

  • A weekend inquiry that waits until Monday is often gone by Tuesday. Prospects call three firms and hire whoever answers first.
  • Every new matter typed by hand from an email into a CRM is a chance to lose a phone number, misspell a name, or file it under the wrong practice area.
  • Conflict checks that happen the day of the consultation, not the day of the inquiry, waste time on the wrong side of the process.
  • Owners who answer their own after-hours email pay for it in weekends. Owners who don't pay for it in lost matters.

What we automate

These are the workflows we implement most often for small and mid-size firms. Each is scoped as a fixed-price engagement — no hourly billing, no scope creep.

Client intake & triage

Inquiries from any channel — email, web form, phone transcription — are read, tagged, conflict-checked, and drafted into a response that waits for your approval.

Document review & summarization

Contracts, discovery, and case files get summarized with citations back to the source. Your attorneys read the summary and jump to the paragraph that matters.

Matter setup & scheduling

New matters get created in your practice management system with the right fields populated, calendar holds placed, and welcome packets sent — automatically.

Deadline & obligation tracking

AI reads incoming documents for dates, deadlines, and commitments, then puts them on the right calendars with the right reminders and the right people notified.

Confidentiality is the design constraint — not an afterthought.

The reason most firm owners hesitate on AI is the same reason we started this practice: the stakes for getting it wrong are real. Here's how we think about it on every engagement.

PII stays home.

Client data lives in systems your firm already controls. We don't move confidential information into new vendors without a documented reason and appropriate agreements in place.

Humans approve.

Nothing client-facing goes out without a person reviewing it. AI drafts; your team decides. The workflow is designed around that boundary.

You own it.

We document every workflow we build so your firm can maintain, modify, or migrate it independently. No lock-in, no proprietary black boxes.

How we work

Every engagement starts with an AI Opportunity Audit — a fixed-price assessment where we map your current workflow, identify where AI helps and where it doesn't, and give you a written recommendation. Sometimes the honest answer is "don't automate this yet." We'll tell you that.

If it makes sense to move forward, we scope a Workflow Implementation — a defined deliverable at a defined price, typically live within two to four weeks. After launch, most firms move to a Monthly Retainer for ongoing refinement and additional workflows as the practice grows.

We also offer a Half-Day Workshop for firms that want to build AI literacy across the team before committing to implementation.

Common questions

Is AI safe to use with confidential client information?

It can be — with the right architecture. We build workflows that keep PII inside systems your firm already controls, route confidential data only through vetted providers with appropriate data handling agreements, and add human-in-the-loop review before anything client-facing goes out. Compliance isn't an afterthought; it's the design constraint.

Will this replace my paralegal or intake staff?

No. It removes the repetitive, after-hours, error-prone parts of their work — transcribing emails into your CRM, chasing calendar holds, drafting the first version of routine responses — so your people spend their time on judgment, relationships, and matter strategy. Most firms find their staff can handle meaningfully more work without burning out.

How long does implementation take?

A typical intake automation goes live in two to four weeks from kickoff, depending on how many systems it touches. We start with an AI Opportunity Audit — a fixed-price engagement that maps your current workflow and identifies what's worth automating before any implementation begins.

Do you lock us into specific software?

No. We build on the tools you already use — Clio, MyCase, PracticePanther, whatever your practice management system is — and we document the workflow so you own it. If you ever want to change vendors or bring the work in-house, nothing about our engagement prevents that.

What does it cost?

Every engagement is fixed-price and scoped up front. The AI Opportunity Audit is our starting point — a defined deliverable at a defined price, with no obligation to move forward. Workflow implementations and monthly retainers are priced by scope, not hourly, so you know what you're spending before you commit.
